Overview

Remote Workmate (“Remote Workmate”, “we”, “us”, or “our”) respects your privacy and is committed to protecting the personal information you share with us. This Privacy Policy explains what information we collect, how we use and share it, how long we keep it, and the choices and rights available to you.

This policy applies to remoteworkmate.com (the “Site”) and to the recruitment and staffing services we provide to clients and candidates. It should be read together with our Terms and Conditions and our Cookie Policy.

Who we are

Remote Workmate is an offshore staffing company that recruits, manages, and supports remote professionals for businesses worldwide. For the purposes of applicable data protection law, Remote Workmate is the “controller” of the personal information described in this policy.

Information we collect

We collect information in three main contexts:

  • Website visitors. When you browse the Site or submit our contact form, we collect the details you provide (such as your name, work email, company, and the role you are hiring for) and limited technical data (such as IP address, browser type, pages viewed, and referring pages) gathered through cookies and analytics.
  • Clients. When you engage our services, we collect business contact details, the requirements of the roles you want filled, and the billing information needed to invoice you.
  • Candidates. When you apply to work with us, we collect the information in your application and CV — such as contact details, work history, skills, qualifications, and the results of any assessments or interviews.

We do not knowingly collect special-category data (for example, health or biometric data) unless it is necessary for a specific, lawful purpose and you have been informed.

How we use your information

We use personal information to:

  • respond to enquiries and provide the recruitment and staffing services you request;
  • match candidates to client roles and manage ongoing placements;
  • operate, maintain, and improve the Site and our services;
  • send service-related communications and, where permitted, relevant updates you may opt out of at any time;
  • process payments and manage our business records; and
  • comply with our legal, tax, and regulatory obligations.

Where the EU/UK General Data Protection Regulation (GDPR) or the Philippine Data Privacy Act of 2012 applies, we rely on one or more of the following legal bases: your consent; the performance of a contract with you; our legitimate interests in operating and promoting our business (balanced against your rights); and compliance with a legal obligation. Where we rely on consent, you may withdraw it at any time.

Cookies and analytics

We use cookies and similar technologies to operate the Site, remember your preferences, and understand how the Site is used. For details and your choices, see our Cookie Policy. You can also configure your browser to refuse cookies, though some features of the Site may not work as intended.

How we share information

We do not sell your personal information. We share it only:

  • with candidates and clients as necessary to make and manage placements;
  • with service providers (such as hosting, email, payment, and analytics providers) who process data on our behalf under appropriate contractual safeguards;
  • where required by law, regulation, legal process, or enforceable governmental request; and
  • in connection with a merger, acquisition, or sale of assets, in which case we will require the recipient to honor this policy.

International transfers

Remote Workmate operates in the Philippines and serves clients and candidates in other countries. As a result, your information may be transferred to and processed in countries other than your own. Where such transfers are subject to GDPR, we put appropriate safeguards in place (such as Standard Contractual Clauses).

Data retention

We keep personal information only for as long as needed for the purposes described in this policy, and to meet legal, accounting, or reporting requirements. Candidate records are retained for a reasonable period so we can consider you for future roles; you may ask us to delete them sooner (see below).

Your rights

Depending on your location, you may have the right to access, correct, update, or delete your personal information; to object to or restrict certain processing; to withdraw consent; and to data portability. Under the Philippine Data Privacy Act you also have the right to be informed and the right to lodge a complaint with the National Privacy Commission. To exercise any of these rights, contact us using the details below and we will respond within the time required by applicable law.

Children’s privacy

The Site and our services are not directed to children, and we do not knowingly collect personal information from anyone under 18. If you believe a child has provided us with personal information, please contact us and we will delete it.

Data security

We take reasonable and appropriate physical, technical, and organizational measures to protect personal information against loss, misuse, and unauthorized access, disclosure, or alteration. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

The Site may contain links to third-party websites. This Privacy Policy does not apply to those sites, and we are not responsible for their privacy practices. We encourage you to review the privacy policy of every site you visit.

Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. When we do, we will revise the “Last updated” date at the top of this page. Significant changes will be highlighted on the Site.
